Open Room Parties

Balticon has a long history of allowing open-room parties for event promotion and socialization!

These parties have always been a great opportunity for different groups to network and let off a little bit of steam after a long day at the con. You can find the open ones listed on the party board – or add your own!

Obviously Parties can be a bit noisy… Party rooms are in a segregated “noisy” area of the hotel and are limited in number.

Open Room Parties may only be hosted by someone with a paid Balticon badge.

Party rooms are assigned for the entirety of the event on a first come, first served basis. There are a limited number of adjoining rooms in the party block.

To request a party room, first make a hotel reservation for the room, and then fill out the Party Request form. You will need your hotel reservation number(s) to reserve a space in the party block. Our party coordinator and hotel liaison will reply with a conformation that you are in the party block and, if requested, you will also be informed if an adjoining room is possible. We recommend that you make your reservation as early as possible as sometimes the hotel sells out, and no rooms are reserved from the convention block for parties. Parties may be asked to lower volumes though if other hotel guests are disturbed outside of the noisy area.

Balticon does pay the cleaning fee for the first ten (10) rooms, one per party, but if more party rooms are requested, the registrant would be responsible for the cleaning fee.

The Balticon hotel liaison and/or party coordinator do a tour of the party rooms prior to the convention and catalog any damage(s) they find. Any damage caused by the party to the room outside of what the hotel considers standard wear and tear is the financial responsibility of the party host. Due to Baltimore corkage laws, no alcohol is permitted to be distributed in open party rooms. Parties may not charge an admission fee. Food and non-alcoholic drink may be served.

Parties caught breaking these rules may be shut down or banned from future party assignments.

Balticon also has limited rental space for larger events like book launch parties, etc. Please contact the hotel liaison for more information. 

Party requests should be made as early as possible and before May 1st of the convention year.

Fan Tables

Fan Tables are available to fan groups, clubs, and organizations within the local community to showcase their group or event during the convention. Fan Tables are a great opportunity to promote, recruit new members, raise awareness, and do community outreach.

Fan Tables are assigned on a first come, first served basis with a preference to events that commit to participating for the entire weekend. Please let the fan tables coordinator know if you cannot staff the table for the entire weekend. Groups or Events that do not staff their assigned table for the majority of the agreed upon time may be restricted from future fan table reservations.

Selling items is restricted at Fan Tables to things like tee-shirts that promote your event or pre-sale of tickets to your event but must not be the focus of your participation. You may be asked to restrict or entirely stop selling merchandise at the discretion of Balticon. Swag (candy, buttons, other stuff) is permitted to be given away for free. Tables may be used for longer than the listed hours at the discretion of your staff.

Use the Fan Table Request form to request a Fan Table for your group, event, or organization. Table requests should be made by May 1st of the convention year.

Badges

Each fan table may request two badges assigned to the event or group that request a table. The badges are for access to the convention space to staff your table during the required or agreed upon hours and can be passed between your table staff if different people volunteer on different days. Preference for comp badges is given to events that offer a trade of badges and table at your event.

The contact person will be able to pick up the fan table badges from pre-registration. If your event needs to have someone else pick up the badges please contact the fan table coordinator. People with regular attendee or other badges may also staff your table.
